Logistics guide

A booking change can affect more than a departure date. Quantities, routing, documents and receiving arrangements may all need to be reviewed together.

Communicate the change as one update

  • Quote the booking reference and describe exactly what has changed. Include the old and new quantities, measurements, dates or instructions where relevant.
  • Ask the coordinator to confirm availability, possible cost changes and any revised cut-offs. Do not assume an earlier confirmation still applies.
  • Share the approved revision with the shipper, consignee and other affected parties. Make the latest instruction easy to distinguish from superseded versions.

Before you proceed

Keep a record of who confirmed the change and when. If a decision is still pending, label it as pending rather than presenting it as an agreed plan.
